Terms of Service

These terms govern your use of https://tcpilot.com and any services provided by HousePilot Inc.. By using the site, submitting a form, or using the service, you agree to them.

2. The service
TC Pilot provides transaction coordination for licensed California real estate agents and brokers. Our service begins once a purchase agreement is fully executed and continues through close of escrow and final file completion. It covers contract and file setup, transaction coordination, disclosure and signature management, and brokerage compliance support, as described on our scope of service page.
3. What we are not
We provide administrative coordination of an executed transaction. We are not attorneys, accountants, escrow officers, lenders, or your broker, and nothing we provide is legal, tax, or financial advice.
We do not prepare offers or counteroffers, draft addenda for newly negotiated terms, negotiate price, credits, repairs or contingencies, determine which forms or disclosures are legally required, explain contract terms to buyers or sellers, or make decisions that require agent or broker judgment. You remain the agent of record and your broker remains responsible for supervising the file. The full exclusion list is on our scope of service page and forms part of these terms.
4. Your responsibilities
- Confirm your brokerage permits an outside transaction coordinator, and arrange whatever system access their policy requires.
- Provide the fully executed contract and accurate party contact information promptly.
- Review what we prepare. You are responsible for the accuracy of representations made to your clients and to the other side.
- Obtain brokerage approval where it is required.
- Respond when we escalate an item that requires your decision.
5. Service hours
Our office operates Monday–Friday, 8:00am–5:00pm Pacific. Routine requests received before 2:00pm Pacific are generally handled the same business day; requests after 2:00pm are generally handled the next business day. Known contractual deadlines are tracked proactively and never require a request from you.
Email, SMS, and phone lines accept messages at any hour, but routine administrative requests submitted outside published business hours, and same-day rush work created by requests submitted after the stated cutoff, are outside our standard scope. We do not guarantee a response time outside office hours, and genuinely time-critical matters should not be left solely on an after-hours channel.
6. Fees
$449 per transaction side, contract to close, for the side you represent. If you represent both sides of a transaction, that is two files and two fees. Your first transaction is $199 if prepaid at the time the file is opened, or $249 if invoiced to escrow and paid at closing.
Third-party costs such as escrow, title, HOA document fees, couriers, notaries and e-signature charges billed by your brokerage are not included, and are paid directly by whoever the contract obligates. We do not mark them up and we do not advance them.
7. Cancelled transactions
If you prepaid: Your payment carries forward to your next transaction as a credit. It doesn't expire. We don't refund it in cash, because by the time most files fall apart the coordination work is already done, but you don't lose it either.
If it's billed to escrow: No closing means no escrow to bill. If the file cancels before contingencies are released, there's no charge at all.
If it dies late: After contingencies are released, a cancellation fee of up to $249 may apply, based on the work actually performed. You can apply it to your next transaction instead of paying it.
Fees are earned as the work is performed rather than at closing; the payment schedule above is a matter of convenience, not a contingency on the transaction closing.
8. SMS & messaging terms
The SMS consent box appears wherever we ask for a mobile number: on this site, in the “Want to receive text updates?” dialog linked from the footer of every page, and in the client dashboard. When you provide a mobile number and tick that box, you agree to receive text messages from HousePilot Inc. (TC Pilot) about your account and your transactions, such as:
- Transaction status updates on files you have opened with us.
- Reminders ahead of contractual deadlines and contingency dates.
- Requests for missing documents, signatures or information needed to complete your file.
- Replies to questions you have texted us about a transaction.
- Notices about your account, such as sign-in codes.
- Frequency: message frequency varies, and depends on how many transactions you have open with us and how active they are.
- Cost: message and data rates may apply, per your carrier plan. We do not charge for the messages themselves.
- Help: reply HELP to any message for assistance, or email hello@tcpilot.com.
- Opt out: reply STOP to any message at any time to unsubscribe immediately. No other action is required, and opting out does not affect our work on your files.
- No marketing without separate consent: we will not send you promotional or marketing SMS unless you have separately opted in to that.
Consent to receive SMS is not a condition of purchasing or using the service. Carrier support and message delivery depend on your carrier and device; carriers are not liable for delayed or undelivered messages, and neither are we for delays, non-delivery, or carrier outages outside our control.

9. Confidentiality
We treat your transaction information and your clients' personal information as confidential and use it only to perform the service. See our Privacy Policy.
10. Non-solicitation of your clients
TC Pilot does not represent buyers or sellers, does not list or sell property, and does not compete with you. We will never solicit your clients, market to them, or contact them for any purpose other than coordinating the transaction you hired us for. This survives the end of any engagement.
11. Acceptable use
- Don't use the site or service to violate any applicable law.
- Don't submit false or misleading information through any form.
- Don't attempt to interfere with, probe, or compromise the security or operation of the site or our systems.
- Don't use the service to harass, abuse, or impersonate any person or entity.
12. Limitation of liability
To the fullest extent permitted by law, our total liability arising out of or relating to the service is limited to the fees you paid us for the transaction giving rise to the claim. We are not liable for indirect, incidental, special, or consequential damages, including lost commissions or lost business.
13. Termination
Either of us may end the engagement on a file with written notice. On termination we will hand over the complete file and a written summary of its status. Fees for work already performed remain payable under section 7.
14. Changes
We may update these terms. Material changes will be posted here with a new date above and, where appropriate, sent to you by email. Continuing to use the service after a change means you accept it.
15. Governing law
These terms are governed by the laws of the State of California, without regard to its conflict-of-laws rules.
