What's included in our service
Our transaction coordination service begins once a purchase agreement is fully executed and continues through close of escrow and final file completion.
Contract & file setup
- Create and organize the transaction file
- Compile disclosure packages for your sellers based on your brokerage's document requirements
- Send disclosure packages to buyers after a ratified contract
- Enter the transaction into the brokerage's required transaction-management system
- Generate a timeline based on contractual dates and deadlines
- Open escrow with your preferred vendor
Transaction coordination
- Track contractual timelines, contingencies, inspections, appraisal, financing and closing milestones
- Coordinate administrative communication with escrow, title, lender, cooperating agent and other transaction parties
- Request transaction documents, reports and signatures needed to maintain a complete file
- Follow up on outstanding administrative items
- Provide transaction status updates
Disclosures & signatures
- Assemble seller disclosure packages based on brokerage requirements and agent instructions
- Send seller disclosures and transaction documents for electronic signature
- Deliver completed disclosure packages to the appropriate transaction parties
- Send buyer-side disclosure packages for review and signature after an accepted contract
- Send prefilled documents for signatures to appropriate parties
- Track missing signatures, initials and incomplete documents
Brokerage compliance
- Upload and organize documents within SkySlope or the brokerage's designated transaction/archive platform
- Monitor the file for flagged missing or incomplete docs
- Submit completed documents for brokerage review
- Respond to administrative file corrections requested by the brokerage
- Perform a final file review prior to closing
- Organize and complete the transaction file following close of escrow
What's not included
Our service manages the administration of an executed transaction. The agent remains responsible for negotiating, creating and advising on the underlying deal.
If something comes up that is outside the scope of our work for you, we'll flag it and let you know, rather than silently allowing your file to unravel.
Offer & negotiation documents
- Preparing purchase offers

Pre-contract buyer activity
- Preparing documents for properties a buyer has not entered into contract on

Agent & brokerage responsibilities
- Determining which forms or disclosures are legally required
- Providing legal, tax or brokerage advice
- Making decisions requiring agent or broker judgment
- Explaining contract terms to buyers or sellers

After-hours & Rush Requests
- Late night file updates or signature requests
- Rush work creating tight deadlines where non-completion could cause transaction interruptions
- Document submission for same day service after submission cut-off time

Turnaround
Routine requests received before 2:00pm Pacific are generally handled the same business day; requests after 2:00pm are generally handled the next business day.
